Requirements of position




 
Qualifications:
 • 5+ years of experience in operations, staff coordination, or project management, preferably within design, architecture, construction, or luxury services.
 • Skilled at managing teams, calendars, and overlapping timelines with a high degree of accuracy.
 • Proficient in project management tools (Click Up strongly preferred).
 • Excellent communication, leadership, and organizational skills.
 • Proven ability to manage multiple priorities in a fast-paced, client-focused environment.
 • High level of discretion and professionalism.
Bonus Qualifications:
 • Familiarity with the luxury design or construction industry.
 • Experience working closely with a founder or creative executive.
 • Knowledge of CRM or client service platforms.
 
 
 
 
 
Responsibilities of position





The Staff and Project Manager will work closely with the Owner/Principal to oversee operations, manage project timelines, and coordinate cross-functional teams. This role is central to ensuring internal alignment, maintaining schedules, and driving task execution. The ideal candidate will be highly organized, tech-savvy, and comfortable leading staff while streamlining communication and workflows across the organization.
 
Key Responsibilities:

 Project & Operations Management
 • Maintain and manage the firm’s master job schedules, ensuring clarity and accountability across all project timelines.
 • Coordinate with design teams, construction consultants, and vendors to keep project phases on track.
 • Track key milestones and manage multiple concurrent deadlines.
 • Proactively identify and resolve scheduling conflicts or workflow bottlenecks.
 • Manage and track project budgets in coordination with accounting manager.
 
Executive Support
 • Serve as a trusted partner and operational liaison to the Owner/Principal.
 • Manage daily logistics and work with executive assistant on owner’s calendar.
• Prepare meeting agendas, take notes, and ensure follow-ups are completed.
 • Assist with prioritizing communications, including triaging emails as needed.

 Staff & Team Coordination
 • Oversee the activities of administrative and support staff.
 • Lead weekly team meetings and manage cross-functional coordination.
 • Ensure clarity on roles, priorities, and deliverables within the team.
 
Systems & Task Management
 • Manage and optimize Click Up (or equivalent project management platform).
 • Develop and maintain dashboards, automations, templates, and reports.
 • Train team members and support adoption of systems and processes.
 
Office Management
 • Handle day-to-day office operations.
 • Develop and enforce standard operating procedures (SOPs) and internal best practices.
 • Act as a bridge between departments and the principal to enhance decision making and efficiency.
