Requirements of position




  1. Associate or Bachelor’s degree in Business, Project Management, Communications, or related field.
  2. 1–3 years of experience in project coordination, preferably in nutraceuticals, pharmaceuticals, food manufacturing, or consumer goods.
  3. Strong organizational and multitasking skills with attention to detail.
  4. Excellent written and verbal communication skills.
  5. Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and project management tools (e.g., Monday.com, Asana).
  6. Ability to thrive in a fast-paced, deadline-driven environment.
 
Responsibilities of position





Position Summary:
We are seeking a detail-oriented and highly organized Project Coordinator to assist in the execution and management of nutraceutical manufacturing projects from sales order confirmation to final delivery. Reporting to both the Project Manager and Director of Sales, this role plays a key support function, ensuring clear communication across departments and maintaining accurate documentation throughout the project lifecycle.

Key Responsibilities:
· Project Support:
  1. Assist the Project Manager in coordinating all phases of project execution once the client deposit is received.
  2. Help maintain and update project timelines, schedules, and deliverables.
  3. Track project status and communicate progress updates to internal teams.
· Sales Support & Communication:
  1. Act as a liaison between the Sales Team and internal departments to ensure accurate translation of client requirements.
  2. Follow up with the sales team on pending items, approvals, and client feedback.
  3. Assist in preparing project summaries and status updates for the Director of Sales.
 
· Cross-Department Coordination:
  1. Communicate project details to teams including Purchasing, Graphic Design, Production, Packaging, QA/QC, and Shipping.
  2. Schedule and coordinate internal meetings as needed to align project tasks and responsibilities.
  3. Help ensure materials, artwork, and documentation are submitted and approved on time.
  4.  
· Administrative & Documentation Tasks:
  1. Maintain accurate project records including client specifications, artwork approvals, formulation documents, and production timelines.
  2. Support creation and organization of checklists, and project tracking tools.
  3. Prepare reports, spreadsheets, and presentation materials as requested.
 
· Problem Solving & Follow-Up:
  1. Identify bottlenecks and communicate potential issues to the Project Manager.
  2. Follow up with departments on outstanding tasks or delays.
  3. Support in resolving routine problems to keep the project on track.
