Job Description:
We are seeking an experienced Mechanical Estimator to join our growing team. This individual will be responsible for preparing accurate and competitive cost estimates for commercial mechanical construction projects, including HVAC, chilled water, condenser water, glycol, refrigeration, and piping systems. The ideal candidate is detail-oriented, highly organized, and thrives in a fast-paced environment while working closely with project management, vendors, subcontractors, and general contractors.
Essential Duties & Responsibilities
- Review project plans, specifications, drawings, and bid documents for mechanical systems, including HVAC, chilled water, condenser water, glycol, refrigeration, and related piping systems.
- Prepare accurate quantity takeoffs, cost estimates, and project budgets.
- Submit complete and competitive bids by established deadlines.
- Ensure all bid documents, subcontractor buyout information, and project documentation are accurate and complete prior to turnover to the Project Management team.
- Facilitate the successful handoff of awarded projects to Project Management within 24–48 hours of award.
- Prepare and maintain plan distribution and reproduction logs.
- Solicit, evaluate, and compare subcontractor and vendor quotations.
- Develop and distribute subcontractor bid packages.
- Ensure adequate subcontractor coverage on bid day and proactively obtain additional pricing when necessary.
- Communicate project schedules, bid updates, addenda, and revisions to subcontractors and vendors.
- Enter and maintain estimating data within the company's estimating software.
- Thoroughly review bid requirements and prepare Requests for Information (RFIs) and clarifications when needed.
- Perform comprehensive bid-day analysis, scope reviews, and trade leveling.
- Develop and maintain qualified subcontractor bid lists for each project.
- Review subcontractor proposals to ensure complete scope coverage and compliance with project requirements.
- Respond promptly to General Contractor requests and coordinate trade scope discussions with subcontractors.
- Collaborate with Project Managers to review project drawings, budgets, potential risks, pending material awards, and subcontractor buyouts.
- Provide subcontractors with essential project information, including project contacts, permit status, and project schedules.
- Build and maintain strong working relationships with General Contractors, subcontractors, suppliers, and clients.
- Represent the company at networking and industry events to foster business relationships.
- Maintain effective communication with internal departments throughout the estimating and preconstruction process.
- Perform additional duties and special projects as assigned.
Qualifications
- 5–10 years of experience as a Mechanical Estimator within the mechanical contracting industry.
- Bachelor's degree in Construction Management, Mechanical Engineering, Engineering Technology, or a related field preferred; equivalent industry experience will also be considered.
- Minimum 3–5 years of experience in commercial construction, mechanical contracting, or project operations.
- Strong knowledge of HVAC systems, ductwork, piping, chilled water, condenser water, glycol, refrigeration, and related mechanical systems.
- Ability to interpret construction drawings, specifications, addenda, RFIs, and contract documents.
- Solid understanding of estimating principles, project costing, margins, and budgeting.
- Experience using estimating software such as FastPIPE, Quote Express, QuickPen, or similar platforms.
- Proficiency with Microsoft Office Suite, including Excel, Word, and Microsoft Project.
- Excellent analytical, organizational, and problem-solving skills with exceptional attention to detail.
- Strong written and verbal communication skills.
- Ability to prioritize multiple projects and meet tight deadlines.
- Self-motivated with excellent time management and organizational abilities.
- Strong relationship-building and negotiation skills.
- Bilingual (English/Spanish) is a plus.
- Ability to work full-time in an office environment while collaborating closely with Operations, Engineering, Project Management, and other internal teams.
