JOB SUMMARY:
The Business Process Coordinator supports the Director of Strategic Operations in building, maintaining, and improving the operational processes that keep the business running efficiently and consistently. This role is responsible for documenting standard operating procedures, tracking cross-functional action items, supporting the operating cadence, and ensuring that key workflows are followed across departments. It is a highly organized, detail-oriented role that bridges the gap between strategic direction and day-to-day execution.
Working across Operations, Finance, Commercial, and Dispatch, the Business Process Coordinator helps ensure that information flows accurately, commitments are tracked, and process improvements are implemented and sustained.
PRIMARY DUTIES AND RESPONSIBILITIES:
Process Documentation and Improvement
- Draft, maintain, and update standard operating procedures (SOPs) across operational, commercial, and administrative functions.
- Organize and maintain a centralized process library, ensuring documents are current, accessible, and version-controlled.
- Identify gaps or breakdowns in existing workflows and escalate findings to the Director of Strategic Operations with recommended solutions.
- Support the rollout of new processes, including drafting communication materials, job aids, and training checklists.
Operating Cadence Support
- Assist with the preparation and coordination of weekly huddles, monthly operational reviews, and other recurring leadership meetings.
- Track action items, owners, and due dates coming out of operational meetings; follow up to ensure completion and escalate aged or at-risk items.
- Maintain meeting notes, decision logs, and status trackers to support organizational follow-through.
- Prepare agendas, pre-read materials, and summary reports to support effective meeting execution.
Cross-Functional Coordination
- Serve as a coordination point between departments for cross-functional initiatives, ensuring handoffs are clear and timelines are met.
- Support the onboarding of new operational workflows by coordinating training logistics, gathering feedback, and tracking adoption.
- Assist with special projects assigned by the Director of Strategic Operations, including research, data gathering, and summary reporting.
- Communicate professionally with internal stakeholders at all levels of the organization to gather information, confirm details, and facilitate resolution of process-related issues.
Reporting and Data Support
- Compile and organize operational data from multiple sources to support KPI tracking, performance reporting, and dashboard updates.
- Maintain operational scorecards and trackers, ensuring data is current and accurately reflects field and business activity.
- Identify data quality issues and work with relevant teams to investigate and resolve discrepancies.
- Produce recurring reports and ad hoc summaries as directed by the Director of Strategic Operations.
REQUIREMENTS:
- Associate’s or Bachelor’s degree in Business Administration, Operations Management, or a related field preferred; equivalent work experience considered.
- 2+ years of experience in an operations, administrative, project coordination, or process support role.
- Strong written and verbal communication skills; able to produce clear, professional documentation.
- Highly organized with exceptional attention to detail; able to manage multiple concurrent tasks without losing track of priorities.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook); experience with project management or workflow tools a plus.
- Comfortable working in a fast-paced, operationally intensive environment; prior experience in transportation, logistics, or field services is a plus.
- Self-starter with a proactive mindset; willing to ask questions, identify problems, and take ownership of follow-through.
- Six sigma green or black belt preferred
