| We are seeking an efficient, detail-oriented, and customer-focused Air/Ocean Import Coordinator to join our team in the Doral area. The ideal candidate will be responsible for managing international ocean and air import shipments, ensuring that all regulatory requirements and documentation are processed accurately and in a timely manner.
Key Responsibilities
- Documentation Management: Enter and maintain international ocean import tracking documentation from origin to destination. Ensure all shipments have correct paperwork, including transit documents and customs clearances.
- Regulatory Compliance: Ensure all shipments meet regulatory requirements and that all necessary paperwork is processed and distributed promptly.
- Data Entry & Milestone Confirmation: Input and verify key milestones (departure, arrival, customs clearance, PODs, etc.) according to customer SOPs and ensure timely communication to relevant parties.
- Customer Service: Provide timely, efficient, and courteous customer service. Keep clients informed of shipment status and ensure customer satisfaction.
- Cost & Profit Management: Maintain accurate costs and profits by ensuring proper billing according to agreed pricing.
- Shipment Coordination: Oversee the pickup and transfer of shipments, ensuring timely and accurate execution with proper partners.
- Logistics & Negotiation: Develop and implement strategies for transporting commodities from offshore locations to final destinations. Negotiate shipping rates to ensure competitiveness.
- Customs & Bonding: Prepare customs declarations, bonds, and related documentation for compliance with customs regulations.
- Relationship Management: Build and manage relationships with local suppliers, carriers, freight forwarders, customs brokers, and other stakeholders to ensure smooth operations.
- Safety & Compliance: Ensure all employees work in a safe, well-organized environment that complies with quality assurance standards, including FMC, IMDG, ISO, and TAPA.
- Booking & Coordination: Take and confirm booking requests, consolidate shipments, and arrange pickups in line with standard procedures.
- Invoicing & Billing: Accurately generate customer invoices and manage payables, ensuring timely and precise billing for all services rendered.
- Operational Efficiency: Review standard operating procedures to improve efficiency, productivity, and compliance.
- Problem Resolution: Escalate issues as needed and work with management to resolve operational challenges.
Education and Experience
- Experience: Minimum of 2 years of experience in Ocean Imports is required.
- Freight Forwarding Knowledge: Familiarity with freight forwarding, ocean operations processes, and procedures.
- Bonded Freight: Experience handling bonded freight and cargo is preferred.
