Job Description:                                                          
The Accounts Payable Admin is responsible for a variety of duties pertaining to accounts payable. This position is accountable for entering all vendors and invoices into our software system, verifying invoice due dates, processing payments, monitoring crucial accounts, and ensuring timeliness on all tasks. This role operates under the direction of the Senior Accountant and will complete additional duties as assigned.
Essential Job Functions
  • Invoice & Vendor Management: Enter all vendors and invoices into the accounting software system. Verify due dates to ensure invoices are paid in a timely manner. Code invoices to accurately trace payables back to appropriate business units.
  • Account Monitoring & Reconciliation: Monitor crucial accounts payable for timeliness. Reconcile specific accounts, including accrued liabilities and use tax.
  • Transaction Processing: Compile, sort, and verify documents (such as invoices and checks) that substantiate business transactions. Enter vouchers, invoices, checks, account statements, reports, and other records into the system.
  • Payment Execution: Prepare ACH transactions and mail checks to vendors and customers.
  • General Ledger Maintenance: Verify and post details of business transactions, total accounts, and maintain the general ledger by posting entries to specified accounts and preparing journal entries.
  • Tax Compliance: Ensure proper allocation of Sales & Use Tax as applicable by law in Arkansas and Tennessee.
  • Internal/External Billing: Process charges, credits, and statements for ERC and RHM for both external customers and internal employees. Allocate these costs back to the appropriate business units, enter them into the accounting system, and send out statements during the monthly billing process.
  • Documentation: File A/P and A/R related documents efficiently.
  • Support: Perform all other related duties as assigned by the Senior Accountant.
Knowledge, Skills, and Abilities
  • Accounting & Operations: Knowledge of general accounting principles, standards, and standard office procedures.
  • Company Literacy: Knowledge of company policies, procedures, products, and services.
  • Technical Skills: Skill in operating various office equipment, including personal computers, telephone systems, and various banking and accounting software programs.
  • Analytical Skills: Skill in reading, interpreting, and verifying statistical and financial data with a high level of attention to detail.
  • Communication: Strong oral and written communication skills; ability to interact with customers, employees, and business contacts in a professional and courteous manner.
Education and Experience
  • Minimum Education: High School Diploma or equivalent.
  • Experience: Minimum of one (1) year of related A/R and A/P experience.
