Requirements of position




Experience & Education
  • Minimum 2 years of administrative or office support experience in a professional environment
  • High school diploma required; associate or bachelor’s degree preferred
Travel Requirements
  • Must be available to travel internationally up to 20% of the time
  1. Valid passport required (or ability to obtain one), plus willingness to work across different time zones when needed
Technical Skills
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Familiarity with scheduling tools, virtual meeting platforms (Zoom, Teams), and standard office equipment
  • Strong document preparation, data entry, and file management skills
  • Ability to create professional reports, presentations, and spreadsheets
Communication & Interpersonal Skills
  • Excellent verbal and written communication skills
  • Must be fluent in English and Spanish 
  • Strong customer-service orientation with the ability to interact professionally with internal and external stakeholders
  • Ability to maintain confidentiality and handle sensitive information
Organizational & Administrative Skills
  • Strong attention to detail and accuracy
  • Proven ability to manage multiple tasks, prioritize effectively, and meet deadlines
  • Strong problem-solving and time-management skills
  • Ability to work independently with minimal supervision
 
Responsibilities of position





We are seeking a highly organized and proactive bilingual Administrative Assistant with at least 2 years of professional administrative experience to support our Marketing Department. The ideal candidate is detail-oriented, resourceful, and able to manage multiple priorities in a fast-paced environment. This role involves international coordination, schedule management, and administrative support across departments. The position requires availability for international travel up to 20% of the time.
Key Responsibilities
  • Provide administrative support to managers and team members, including scheduling meetings, organizing travel, and handling correspondence
  • Coordinate domestic and international travel arrangements, including flights, accommodations, and itineraries
  • Assist with expense reporting, invoice processing, and basic budget tracking
  • Prepare, edit, and format documents, presentations, and spreadsheets
  • Maintain organized filing systems—both digital and physical
  • Manage calendars, meeting logistics, room bookings, and event coordination
  • Communicate professionally with internal staff, external partners, and international stakeholders
  • Support onboarding of new staff and assist with departmental administrative tasks as needed
  • Ensure confidentiality, accuracy, and timely completion of assigned tasks
  • Perform other administrative duties as assigned
