Requirements of position




REQUIREMENTS/EXPERIENCE:
  • 3+ years of administrative or clerical experience
  • Familiarity with office management systems and procedures
  • Experience in customer service or data entry is often beneficial
 
  
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Knowledge of office equipment (printers, scanners, fax machines)
  • Familiarity with scheduling tools and possibly CRM or project management software
 
  • Strong written and verbal communication skills
  • Fluent in English and Spanish 
  • Excellent time management and organizational abilities
  • Attention to detail and accuracy
  • Ability to multitask and prioritize tasks
  • Professionalism and discretion in handling confidential information
 
  • Ability to work independently or as part of a team
  • Strong problem-solving skills
 
Responsibilities of position





1. Report to Admin Supervisor
 4. Update with date current TSA Login Sheet
 5. Answer Phones, Retrieve Voicemail messages.
 6. The front desk to be always covered. Advise the team closest to you when going out to lunch for coverage on the phones or visitors.
 7. Manage the Miami email inbox, Sort Distribute, Reply.
 8. Receive Guest in office /Register.
 9. Prepare for meetings & clean up after meetings. (set up/break down)
 10. Create and assist with Access cards/Badges for employees & visitors.
 11. Keep inventory of office stationery supplies Including Toners & Shipping Supplies
 12. Report on service issues with Printers and office phones.
 13. Review and approve invoices for account.
 14. Obtain all receipts for Visa/AMEX Overhead used.
 15. Order and Distribute Business cards.
 16. Report office maintenance issues, Plumber, Electrician, Pest Control, Etc
 17. Handle Seasonal Décor in office.
 18. Approve and process invoices for couriers such as Fed ex, UPS, DHL Etc
 19. CASS Invoices process promptly.
 20. Clean up breakroom, Empty / load dishwasher and load end of day. Make sure the kitchen appliance / coffee pot is off before you leave.
 21. Check Mailbox for any mails.
 22. HAG Billing to be done weekly.
 23. Assist with office events such as luncheon / corporate events.
